What to Consider When Choosing a Wedding Venue

Beyond the view: the practical questions about space, timings, suppliers, power and weather that decide whether a venue truly works for your celebration.

A venue visit is usually led by the view: the lawn at sunset, the courtyard, the ballroom chandeliers. Those first impressions matter, but whether a venue truly works for your celebration depends on details that are rarely shown on a website.

This is a practical checklist of what to look at, and what to ask, before you commit.

Space and layout

  • Does each function have its own space? Using one space for several functions means turning it around between them, which limits design and adds pressure.
  • What fits in the space once it is set? A stage, a dance floor, bars, buffet counters and walkways all take room. Ask for capacity in the layout you actually need.
  • Where do guests go before and after? Think about arrival areas, pre-function spaces and somewhere for older guests to sit comfortably.

Time

  • When can set-up begin, and when must everything be cleared? Large décor and production builds can take a full day or more.
  • Are other events booked around yours? Back-to-back bookings shorten the time available for set-up.
  • Until what time can music play? Many venues, especially outdoors, have limits on amplified sound late at night.

Suppliers and services

  • Which suppliers must come from the venue’s own list? Some venues require their in-house catering or approved suppliers only.
  • What is included in the venue fee? Furniture, linens, basic lighting and staff may or may not be part of the package.
  • Are there restrictions on décor? Ask about fixings, open flames, fireworks, confetti and anything that touches heritage surfaces.

Power, weather and safety

  • How much power is available, and is a backup generator included? Lighting and sound need more than most people expect.
  • What is the plan for rain or wind? Every outdoor function needs a covered alternative.
  • Is the venue accessible for guests with limited mobility, including the routes between spaces?

Guests and logistics

  • How far is the venue from the airport or station, and how will guests travel?
  • Can enough rooms be held, and on what terms?
  • Where will vehicles, drivers and suppliers park and unload?
