A Practical Wedding Planning Timeline
What to decide first, what can wait, and what to confirm in the final weeks: a realistic timeline for planning an Indian wedding.

Wedding planning feels overwhelming mainly because everything seems urgent at once. In practice, decisions fall into a fairly natural order: some shape everything else and must come first, while others are better left until the big picture is settled.
This timeline assumes around twelve months. If you have less time, the order still holds; the steps are simply closer together.
Twelve months or more before
- Agree the essentials as a family: the approximate guest list, the functions you want and the budget you are comfortable with.
- Choose the season and city. These narrow the venue options more than anything else.
- Shortlist and visit venues. Confirm availability for your dates in writing.
- Bring in a planner early if you intend to work with one, so the venue decision is informed by how the whole celebration will run.
Nine to twelve months before
- Book the venue and any partner hotels, and hold enough rooms for out-of-town guests.
- Book the suppliers who are hardest to replace: photography and film, and any specific performers or artists.
- Begin the design conversation: the concept for each function, colours and key references.
Six to nine months before
- Refine the guest list and send save-the-dates, especially for a destination wedding.
- Develop the décor and floral designs, and agree on what each function will look like.
- Plan outfits, allowing time for fittings and alterations.
- Think about guest experience: travel, arrivals, transfers and welcome packs.

Three to six months before
- Send invitations with clear details for every function.
- Finalise menus and tastings with the caterer.
- Confirm entertainment, sound and lighting for each function.
- Agree the run of show in outline: what happens, where and when.
One to three months before
- Confirm final guest numbers for each function and share them with the venue and caterer.
- Finalise the room list and the transport plan.
- Review every supplier’s timings for set-up and take-down against the venue’s rules.
- Plan for weather: confirm the covered alternative for any outdoor function.
The final weeks
- Walk through the venue with your planner and key suppliers.
- Share a detailed schedule with everyone involved, including family members with responsibilities.
- Prepare a point of contact for guests, so questions do not come to the couple during the celebration.
- Then step back. The best preparation means that, when the days arrive, you can be present for them.
